Documents Completion
Before you leave, remember to arrange all the documents required by your home institution to complete your mobility. As a rule, these documents are
Certificate of departure / confirmation of study abroad
Not all students will need this document, but students who receive funding from the Erasmus+ programme usually must submit this document to their home institution.
- WHO MUST SIGN THIS? It must be signed by the International Office of your host School or Faculty at UPV (not by the central International Office). Usually, this requires that you visit the International Office in person. Make sure you save some time for this at the end of your stay and (if necessary) request an appointment.
- DATES ON THE DOCUMENT: UPV staff can only write arrival or departure dates of periods in which you have an official academic activity at UPV (classes and or exams/projects). Once the exam period at the end of the semester is over, you are welcome to stay in Valencia/Gandia/Alcoy for some extra days or weeks, but we cannot include those extra weeks on your certificate.
- Check if your home institution has a template model. Otherwise, we can produce a standard certificate.
Transcript of Records
It is an official document with all your grades and credits completed at UPV.
- WHEN ARE TRANSCRIPTS AVAILABLE? In late February or late July, depending on the semester of your mobility. UPV teaching staff may enter the grades into the system on different dates within a deadline each semester; it is impossible to enter into the system the grades for a single student in a given course.
- GRADING SCALE: The document contains the grades in the local Spanish grading system and statistical information (number of students with a lower grade, the same grade, or a higher grade in the course). Following the recommendations of the European Commission’s ECTS Guide, we no longer include the former ECTS grading scale (A, B, C, D, E, F) on our transcripts.
- INCOMPLETE COURSES: 6 to 8 weeks before the end of the semester, it becomes technically impossible to delete from your Transcript of Records any course (module/subject) you have been registered in. If you do not take the final exams and/or submit the required work for a registered course, this course will be listed on your UPV transcript of records with the grade “NP” (no presentado).
- WILL YOU SEND THE TRANSCRIPTS? As a rule, we do not send the transcripts to exchange students or to their home university coordinators. You must create and download a transcript yourself using the instructions provided below. Our transcripts of records have a secure online verification system and cannot be altered or tampered with. Each PDF file you download will create an identical document in our online repository of transcripts. Each document has a unique verification code and a QR code. Whether they receive it on paper or by email, your university can easily verify that the document is correct and identical to another document stored in our online files.
