Exchange students (incomings)
FAQs
AIRE does not let me connect:
Errors on the side of the server can sometimes occur, especially during periods of high
activity (such as ends of deadline). The problem usually fixes itself if you wait a couple
of minutes. Otherwise, you can post your problem on Gregal, which is our portal for
technical support: http://gregal.upv.es/
I cannot edit my AIRE application, “someone else is editing it”:
It is probably one of our staff members. Again, by waiting a couple of minutes the
problem should fix itself.
Will I know if there is a place available for me in group X?
It is not straight-forward. Since course assignments are done manually, we do not
always know the answer to that question. You will, however, be given the chance to
select a backup course in case you are not assigned to your first option.
Keep in mind that, as an exchange student, you are not guaranteed a place in the
courses you choose, and local students have preference over you (even though most
exchange students manage to enroll in their first choice).
Should I choose subjects amounting to more than 30 ECTS and then drop out
of the excess credits to make sure I get the 30 ECTS required?
No, we will not let you do it. It diminishes other students’ opportunities and would put
you in an unfair advantage. Besides, you are almost guaranteed to enroll in the number
of credits you want, just not necessarily in the exact courses you initially intended to
take (even though most exchange students manage to enroll in their first choice).
Could I change any of the subjects I have been enrolled in?
There will be a welcome session on the first Friday of September, where you will be
informed about the period to make any necessary changes, which last just a week.
How to get my Transcript of Records at the end of my stay
You must wait until each subject coordinator publishes the official grades by the end
of February for the 1st semester and by the beginning of July for the 2nd semester, but
you will be able to see them earlier.
Once all of your grades are published in AIRE (https://aplicat.upv.es/aire-app/), you
will be able to download the official Transcript of Records (ToR) (tutorial to download
TOR) with a verification code, that you must send to your home coordinator.
Do I need any documents before I return home?
You need to collect your Certificate of Stay. The purpose of the certificate of stay is to
notify your home institution of the duration of your stay which will be taken into
account for allocating your mobility grant.
In order to receive your Certificate of Stay, it is necessary to request an appointment in
advance using our PoliCita platform (Internship and Academic Exchange) indicating
the day of your last exam.
The maximum end date of the semester is 2 July for the second semester, unless you
are working on some guided project (preparation of a bachelor’s or master’s thesis).
Within those dates as the maximum departure date, we will indicate a departure date
not later than 5 days after the day on which you come in person to our office.
