New official templates for internal use documents (ENS)

Examinations, minutes, unpublished research results, payrolls, files, passwords, names of servers… are just some of the information that must bear the official use mark.

In order to comply with the National Security Scheme (ENS) as a public administration, the Communication Area, in coordination with the Cybersecurity team of the Information and Communication Systems Area (ASIC), has made available to the Universitat Politècnica de València staff a new set of templates for official documents with restricted access through UPV authentication.

These templates make it possible to clearly identify sensitive documentation and ensure its correct treatment, storage and dissemination.

When should you use the official templates?

Information that is not public or published and should only be known by those who need it to perform their work is considered to be information for official use.

Unauthorized disclosure of this type of information may pose a legal, security or institutional image risk to the UPV.

Common examples of information for official use:

  • POI: The following are the results of the examinations prior to their completion; interim reports; unpublished research or results.
  • Academic and administrative management: Student records; personal data (ID cards, addresses, telephone numbers, etc.); information with personal data on scholarships and grants.
  • HR and economic area: Payrolls, medical leaves, invoices, contracts in process or not awarded.
  • Computing and systems: Passwords, network configurations, name servers.

What do the official templates include?

The resource pack includes models for:

  • Reports
  • Guidelines and regulations
  • Presentations (PowerPoint)
  • Word Documents

All the templates visibly incorporate the Official use stamp This facilitates their identification and helps to ensure their proper treatment.

The correct use of these templates is a key measure to strengthen information security and regulatory compliance at the UPV.
